What Usually Gets Edited
Most fake statements are real statements with a few numbers changed. The applicant downloads a genuine PDF from their bank, then edits the parts a landlord reads. Because the logo, layout and account details are real, the document passes a quick look.
The edits cluster in a few places:
- Payroll deposits, inflated or added to show more income.
- The opening and closing balances, raised to show savings.
- The account holder’s name or address, changed to match the application.
- Transactions removed: NSF fees, returned payments, payday-loan deposits or collection payments.
- Dates moved so an old statement looks current.
Altering a genuine document in a material way is still making a false document under the Criminal Code, and knowingly passing it off as genuine is a separate offence.1,2
Run the Balance Math
Balance math is the single most useful check on an uploaded statement, because an editor who changes one deposit has to change every running balance after it. Work through it in order:
- Opening balance plus total deposits minus total withdrawals should equal the closing balance.
- Each running balance should equal the previous balance plus or minus that line.
- The closing balance of one month should equal the opening balance of the next.
- The totals in the statement summary should equal the sum of the lines.
- Interest, fees and any overdraft charges should appear where the bank’s usual schedule puts them.
A single mismatch can be a reading error, so check it twice. A mismatch that sits right after a large deposit is the pattern to take seriously.
Check the Deposits Against the Rest of the File
A statement is only useful as income evidence if it agrees with the other documents. Compare:
- Net pay on each pay stub against the deposit on the same date.
- The payer name on the deposits against the employer on the application. Some employers pay through a payroll company, so ask before you assume.
- The deposit cadence, weekly, biweekly or semi-monthly, against the pay frequency on the stubs.
- When deposits begin against the start date the applicant claims.
- Rent or mortgage payments against the rental history the applicant gave.
Also look for what is missing. A real chequing account usually shows everyday spending: groceries, transit, phone, utilities. A statement with only payroll in and rent out, and nothing else, is worth a question.
A large one-off transfer just before the application is not proof of anything. It may be savings, family help or a bonus. Ask, and weigh the answer with the rest of the file.
What PDF Clues Can and Cannot Tell You
File clues can raise suspicion but cannot clear a document. Signs worth a second look:
- The document properties name an image editor or a PDF editor rather than the bank’s statement system.
- Text you can select in most of the document but not in the amounts, or the reverse.
- Characters in the amounts that differ in weight, size or spacing from the rest of the line.
- A creation date months after the statement period, or several statements all created in the same minute.
- A screenshot or phone photo when the bank issues downloadable statements.
Clean properties prove nothing. Metadata can be stripped or rewritten, and a statement printed to a new PDF loses most of it. Use these clues to decide when to verify, not to decide that a document is genuine.
Bank Connection Versus Upload
A connected account removes the editing step. The applicant signs in to their bank inside the screening flow and authorizes the read, so the transactions come from the bank rather than from a file the applicant handled. PropTx Verify pulls income data from connected bank accounts this way, uses bank deposits as the fallback when payroll data is not available, and runs fraud detection on manual uploads, which it scores lower than connected data.
| Evidence | Who controls it | What it proves by itself |
|---|---|---|
| Uploaded PDF statement | The applicant, after download | What the file shows, if nobody edited it |
| Screenshot or photo | The applicant | Very little; easy to change and hard to inspect |
| Connected account | The bank, with the applicant’s login and consent | Deposits and payers as the bank holds them |
Bank data is financial information, which the Privacy Commissioner treats as sensitive and generally requiring express consent: explain what you will see, why, and who else will see it.3 And keep the scope narrow. The Commissioner says landlords should not collect more than they need or keep it longer than necessary.4
What to Do When a Statement Does Not Add Up
Ask the applicant to connect the account, or to download a fresh statement while you watch on a call, and note the response. An applicant with a real account usually has no trouble doing either.
Weigh income with everything else. In Ontario, a landlord who asks for income information must also ask for credit references, rental history or a credit check, and must consider income together with them.5 A statement you could not verify should carry no weight; it is not, by itself, a reason to assume the rest of the file is false.
If you conclude a statement was altered, decline on the basis of unverified income, keep your notes, and consider a report to local police and the Canadian Anti-Fraud Centre.6 See rental application fraud for the full order of checks.

Questions
Can a Landlord Ask for Bank Statements in Ontario?
Yes, as income information, as long as the landlord also asks for credit references, rental history or a credit check and weighs income together with them.5
What Is the Fastest Check on a Bank Statement?
The balance math. Opening balance plus deposits minus withdrawals must equal the closing balance, and every running balance must follow from the line before it. Edited deposits usually break this.
Can You Call the Bank to Confirm a Statement?
Generally not without the account holder’s involvement; banks protect account information. Ask the applicant to connect the account or download a statement on a call instead.
Is a Connected Bank Account Safer Than a PDF?
Yes, for verification. The transactions come from the bank under the applicant’s own login and consent, so there is no file for anyone to edit in between.
